 What you will do

 The Facilities Coordinator works closely with the Senior Manager of Procurement and Facility Services and National Facility Services Managers, Key responsibilities include invoice reconciliation with appropriate approvals and cost center coding, generating reports through ServiceNow and NetSuite, tracking and maintaining licensing documentation for SCS and HH facilities, and managing inventory of appliances, furniture, and equipment across residential homes and clinical sites. supports both operational and administrative functions across Home Health (HH) and Specialized Community Services (SCS).

This role gathers operational requirements, coordinates with external contractors and consultants, and contributes to business case development. The Coordinator is responsible for organizing and maintaining departmental files, managing the Facilities intranet content, and supporting internal communications.

 What you will need to be successful

  • Minimum Grade 12 education with a Diploma or Certificate in Business Administration, Medical Administration, or a related field preferred.
  • Minimum 1-2 years of experience in an administrative or customer service role.
  • Experience in handling confidential information is highly preferred.
  • Strong proficiency in Excel (formulas, pivot tables, data analysis, and reporting)
  • Experience generating and interpreting reports using ServiceNow and NetSuite
  • Knowledge of invoice reconciliation, GL/cost center coding, and data accuracy
  • Ability to consolidate and analyze data from multiple systems
  • High attention to detail and accuracy in financial and operational work
  • Strong communication skills for coordinating with teams and resolving issues
  • Effective collaboration and teamwork across departments
  • Problem-solving skills to identify and address discrepancies
  • Strong time management and ability to prioritize multiple tasks
  • Customer service–oriented with a responsive and professional approach
  • Experience working in a fast-paced, deadline-driven environment
  • Reliability and accountability in completing tasks with minimal supervision
  • Strong organizational skills with the ability to manage competing priorities
