Job Duties
The Admissions Junior Specialist holds a supporting role within Enrolment Services and the Admissions team, reporting to the Manager of Admissions and Enrolment as well as the Domestic and International Admissions and Operations Team Leads.
This specialist is responsible for managing the domestic and international document processing, handling student inquiries and supporting and maintaining minimum processing times for all admissions.
Key duties include processing; opening, scanning, verifying and uploading, incoming documents for international and domestic students, authenticating and verifying test results and transcripts, updating student records, answering inquiries from the main admissions email, ensuring procedures and manuals are up to date, all to assist in coordinating the seamless processing of domestic and international students into academic programs.
Through collaborative efforts within the Admissions team, International Enrolment and broader Enrolment Services, a seamless and effective admissions process is established, directly contributing to the institution’s mission and goals and alignment with the Strategic Enrolment Management Plan and Global Engagement Plan. The Admissions Junior Specialist is instrumental in the continued success and growth of the organization’s student body.
Qualifications, Skills, Abilities And Experience
Specific Accountabilities
Data Management:
Ensure data integrity, currency, and consistency within the Banner system, CRM system, and SharePoint. Enforce accurate data entry standards among team members. Correct data entry errors on student self-serve functions, maintaining the highest level of accuracy.
Investigations On Fraudulent Documents:
Spot possible inconsistencies in transcripts and documents to flag and notify admissions to investigate into potential fraudulent documents, ensuring the authenticity of submitted materials. Training and Development: Attend training sessions and update training materials related to the Admissions Junior Specialist position to maintain integrity of domestic and international admissions. Assist in maintaining resource library and network for learning and resource-sharing.
Communication And Outreach:
Respond to general inquiries related to admissions as directed by the Admissions and Operations Team Leads. Communicate internally and externally about admissions processes and policies.
Electronic Document Handling And Records:
Utilize the Banner system, CRM system, and SharePoint for creating, maintaining, and managing electronic student records. Conduct regular reviews to identify irregularities in electronic documents. Implement scanning and indexing procedures for relevant electronic documents.
System Support:
Assist in testing software updates as instructed by Admissions and Operations Team Lead, to maintain consistent data entry standards. Document testing plans and results.
Student Support And Service:
Respond to inquiries from students and the general public. Resolve admissions documents related issues and complaints. Escalate issues as needed and provide information and assistance to the admissions team.
Duties Required Qualifications, Skills And Abilities (QSA)
A recognized office education certificate or business certificate, or an equivalent combination of education, training and experience. One year recent, relevant experience in administrative work Proficiency in using data within multiple systems, including Banner, SharePoint, CRM, and other related systems. Ensuring accuracy, currency, and consistency of student records and data. Demonstrated experience with admissions and enrollment software, particularly within Banner, Sharepoint and CRM systems. Proficiency in using electronic document management systems, including SharePoint and CRM, for organizing and maintaining documents, ensuring document accuracy within these systems. Skill in effectively using communication tools and systems to interact with a diverse range of stakeholders, including students, parents, faculty, and external partners. Ensuring a positive experience for students and enhancing their satisfaction and success. Experience in conducting research on domestic education systems, credentials and using relevant systems and databases. Demonstrates valuing diversity
