The Werklund School of Education is currently seeking a Full-time Temporary Relief Manager,Centre for Wellbeing for approximately 15 months.

The Werklund School of Education has more than 2500 students currently enrolled in BEd, MA, MEd, MC, PhD and EdD degree programs supported by more than 160 academic and support staff. There are more than 27,000 alumni of the Werklund School of Education who can be found in 148 countries around the world. Research informs all of our programs. In exploring how we learn and how to create conditions that enable learning, the work of our students and researchers provides a better understanding of the broad range of educational issues within our communities.

The Werklund School of Education is committed to strengthening support and advancing the Universities strategic directives, through expanding educational research, knowledge, and impact. To further these goals, Werklund School of Education has established a Centre for Wellbeing in Education. The Centre is a multi-disciplinary, dynamic unit consisting of Research, Professional Learning and Outreach, and Clinical Services. The Clinical services branch offers an on-campus psychology clinic. The clinic currently offers practicum placement opportunities for students from masters and doctoral programs in School and Applied Child Psychology and Counseling Psychology.

The Centre is seeking an Administrative Manager whose role would be responsible for managing and coordinating the administrative staff of the Centre – Clinical Services to ensure that all areas have adequate administrative support to carry out their strategic objectives. In addition, the Administrative Manager will be responsible for maintaining the approved budgets for the Centres Clinical Services. The Administrative Manager will report to the Director of the Centre for Wellbeing in Education.

This position requires strong collaboration, and partnership building skills. High volume and a variety of work demands, much of which are driven by internally and externally imposed deadlines and requirements, can be expected. The nature of the work often includes multiple simultaneous deadlines and strong decision-making skills. It is necessary to deal with complex issues and, in some cases, conflicts that require direct involvement and resolution. Moderate to high stress and pressure throughout the year, particularly during peak periods, may be encountered. The impact of error is high as the administrative decisions made will impact the Werklund School of Education and the University of Calgary. The work hours are 8:30-4:30, Monday to Friday. Flexibility in the work schedule, which will include evening and weekend hours, is required to meet the multiple demands of the position.

Summary of Key Responsibilities (job functions include but are not limited to):

  • Ensures that support staff work effectively as a team and meet the needs of the Director of the Centre for Wellbeing in Education including the facilitation, coordination, and implementation of tasks to ensure that the Centre's Clinical Services runs smoothly. The team will include support staff in multiple roles and phases of development and may include part-time casual employees during peak periods.
  • Responsible for understanding of the governance processes of the Werklund School of Education and must have the ability to assess and solve situations as they arise while maintaining good working relationships.
  • The Manager must provide quality leadership to support staff in multiple roles and phases of development. This includes business process assessments, recruitment, mentoring, performance management, discipline and termination of support staff, evaluation of staff performance and feedback to ensure efficient operation of the areas.
  • Ensures staff members are well trained, competent, supported in their work, and encouraged in their development. Work includes establishing policies and procedures, dealing with complaints, liaising with the Director, Centre for Wellbeing in Education, The Academic Directors of School and Counseling Psychology, HR Services team and handling other administrative details (managing time off requests, approving time entries and managing vacation/CTO/flex liability, etc.)
  • Assigns, schedules, supervises staff and leads the performance reviews and enhancement process for support staff. Emphasis on the identification and mentoring of potential leaders in each area is critical. The Manager will exhibit good judgment and negotiation skills to seek satisfactory resolutions.
  • Requires general knowledge of policy and procedural documentation, including collective agreements, FOIP regulations, Psychology Code of Ethics and requirements for confidentiality etc.
  • Creates a positive environment in which staff can develop positive, high trust working.
  • relationships with their colleagues, academic staff and students.
  • Works closely with the Director, Centre for Wellbeing in Education to ensure efficient coordination of critical information related to budgets, operational commitments, and actual expenditures of the Centre's Clinical Services.
  • The Manager holds signing authority for portfolio budgets up to $275,000 and works closely with Financial Services to ensure efficient coordination of critical information related to budgets, operational commitments, and actual expenditures. This includes being responsible for owning, managing and reporting on the Centres staffing administration budget.
  • Works with the with the Director, Centre for Wellbeing in Education as well as the Academic Directors of School and Counselling Psychology to articulate spending priorities and monitor adherence to budget commitments.
  • The Manager will monitor spending on area items, and report any exceptional items.
  • Responsible for overseeing the administration of accounts payable, accounts receivable and purchases for Centre's Clinical Services.
  • Works with the Faculty financial team to investigate discrepancies.
  • Ensures that the administrative operations/services meet the needs of academic and support staff and students.
  • Provides timely and informative communication to Director, Centre for Wellbeing in Education on administrative activities.
  • Oversees the maintenance of an electronic and paper filing system for the Hub documents personnel files.
  • Ensures archiving and shredding policies are followed according to FOIP and the University retention rules.
  • Reviews and updates general office processes and work practices. Ensures that the current guidelines, policies and procedures of the Centre's Clinical Services are available on internal shared storage.
  • Responsible for ensuring specific procedures are in place and implemented in regards to room scheduling, furniture, office signage, management of keys, etc., in relation to the Centre “ Clinical Services management. Liaison with the Manager, Office of Administration in the Dean's Office on these facilities requests.
  • Takes minutes for the Director, Centre for Wellbeing in Education strategic meetings.

Qualifications / Requirements:

  • A post-secondary education (preferably in Business, Management or Education) or equivalent experience is required. A post-graduate degree preferred.
  • Three to five years of experience in a management role is required. Experience managing in a unionized environment is preferred.
  • Strong teamwork, diplomacy, and relationship building skills are critical. Experience working in matrix structure organization is considered an asset as there were will competing demands and priorities for the position to manage.
  • Previous experience with budget preparation and adherence is required.
  • Strong organizational, analytical and problem solving skills are required in order to deal effectively with complex tasks and issues.
  • Demonstrated leadership skills & communication/conflict management skills in a multi-disciplinary environment are required.
  • Efficient time management skills and the ability to successfully manage multiple competing priorities with minimal supervision and direction is required.
  • Excellent oral and written communication skills are required.
  • Ability to remain calm in demanding situations and deal with resulting circumstances in a professional manner is a necessity.
  • Must be highly proficient with Microsoft Office applications (Word, Excel, Access, PowerPoint). Knowledge of University core business systems (e.g. Peoplesoft, eFIN, enterprise reporting) is an asset.
