Job Summary

Reporting to the Compass lead and in collaboration with the onsite Location Lead, the Guest Services Coordinator and Reservations Agent will be responsible for creating a warm, welcoming, and engaging work environment for the employees, executives, and visiting clients of a leading consulting and technology company located in downtown Toronto, Canada. You will provide Workplace support and solutions to professionals within an 89,000 square foot office.

If you were to come on board as our Guest Services Coordinator & Reservations Agent, we'd ask you to do the following for us:

  • Provide engaging and anticipative service to all office employees, executives, and visitors.
  • Closely manage office reservations through internal systems and reservations inbox, ensuring that all office guests are provided with the workspace or meeting rooms best suited to their needs.
  • Manage office access card requests using internal system, and complete associated audit duties.
  • Work closely with facilities, local technology teams, and other key stakeholders to ensure a flawless in office experience.
  • Order and restock supplies and consumables.
  • Carry out instructions for security, fire, health, and safety guidelines as required.
  • Register and check in clients and visitors as required using internal systems.
  • Assist with room set ups and catering requests.
  • Conduct opening and closing duties.
  • Support office health and safety duties as required.
  • Share information about the office, building, surrounding areas, transportation, local attractions and restaurants, and other points of interest.
  • Light housekeeping duties as required.
  • This position requires prolonged standing and walking, with frequent bending.

  • Degree or working experience in a luxury hospitality environment is considered a strong asset - corporate, restaurant or hotels.
  • Intermediate to advanced proficiency in Microsoft Office (Excel, Outlook, Teams, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Strong relationship building skills.
  • Detail oriented with strong analytical skills.
  • Strong technical skills and ability to quickly learn and operate internal and external systems.
  • Ability to manage competing priorities and meet frequent deadlines.
  • Resourceful and adaptive with strong problem-solving abilities
